# For anyone planning a session: headsets and equipment

Whether you need headsets, who brings them, which ones fit, and how to clean them between users.

Your questions

## Do we need headsets, and who brings them?

Buyers ask whether a program is VR only, whether PTR rents headsets, how many a group needs and what IT will ask.

A headset held up to show its lenses.

A participant in the headset, others watching.

Practice on a laptop, monitor or phone.

The routes

## Your headsets, ours, a partner’s, or none

Sessions run in turns, so a group needs fewer headsets than people; the count is agreed at planning.

A participant stands between seated colleagues.

### Your own headsets

[PTR VR Library](https://peopletechrevolution.com/xr/ptr-vr-library) titles run on standalone headsets, such as Meta Quest and Pico, in a workshop your own facilitator leads. PTR agrees suitable hardware with you when planning.

### Headsets from PTR for a session

Questions to settle when the [pilot session](https://peopletechrevolution.com/training/how-a-pilot-runs) is planned: does PTR supply headsets for a session it runs or joins, who sets them up, and who collects them?

A facilitator guides a participant wearing a headset.

### Through a partner trainer

A trainer you already work with, or a trainer PTR introduces, can run PTR’s scenarios in their own room; agree with them who supplies the headsets and who prepares the session. [Working with PTR as a trainer or facilitator](https://peopletechrevolution.com/training/for-trainers).

Reviewers at browser stations in a room.

### No headset: AI roleplay in a browser

Our practice, twin and augmented reality products run in a browser, with no headset and no installation. Staff rehearse with an [AI roleplay partner](https://peopletechrevolution.com/ai/ai-roleplay-practice) on the laptop they already use ([choosing the right technology](https://peopletechrevolution.com/learn/choosing-the-right-technology)).

Which headsets

## Named headset families, in their makers’ words

What each manufacturer states, and how a fleet is managed.

### Meta Quest 3 and Quest 3S

Meta states that "Meta Quest commercial devices are no longer available for sale"; existing customers keep Meta Horizon managed services for Quest 3 and 3S until 4 January 2030 ([Meta for Work](https://www.meta.com/meta-for-work)). A consumer Quest 3 or 3S under a third-party device manager is the current path.

### PICO 4E, HTC VIVE Focus Vision and fleet tools

PICO sells the [PICO 4E](https://www.picoxr.com/global/products/pico4e) as an "Enterprise 6DoF All-in-One VR Headset" compatible "with a wide range of MDM services"; HTC pairs the [VIVE Focus Vision](https://business.vive.com/us/product/vive-focus-vision/) with VIVE Business+ device management. [ArborXR](https://arborxr.com/) manages headsets across these brands and lists People Tech Revolution with device support for HTC, Meta and PICO ([directory](https://arborxr.com/content-creator/people-tech-revolution/)).

## Cleaning a shared headset

The manufacturer’s care steps, and what an Australian health guideline adds for shared clinical use.

### Manufacturer steps, then the health guideline

Meta says "Use a dry microfiber cloth after each use" on the [headset and lenses](https://www.meta.com/help/quest/467048561217367/), and hand wash the [facial interface](https://www.meta.com/help/quest/835935301599524/) in cool water with mild detergent, no chemical cleansers or alcohol, air dried before reuse; in the United States these pages are the reference. A NSW health team with the Clinical Excellence Commission published a [guideline for shared VR equipment](https://www.frontiersin.org/journals/digital-health/articles/10.3389/fdgth.2021.628452/full): a "Therapeutic Goods Administration (TGA) and manufacturer approved disinfectant", wipeable or disposable facial interfaces, hand hygiene, and no use with cold or flu symptoms ([CEC worker sheet](https://www.cec.health.nsw.gov.au/__data/assets/pdf_file/0005/925385/Information-for-HWs-Cleaning-and-disinfecting-virtual-reality-equipment-v3.0.pdf)).

Before the session

## What to check with IT and the room

A short list to send before the kit arrives, whoever brings it.

People sort tokens beside a display.

### The IT and room questions

- Network: wifi for setup and updates. Some features need the internet.

- Device management: Meta managed services, VIVE Business+ or a third-party tool. Decide who enrols each device.

- Accounts: decide who holds the account each headset signs in with.

- Data: stored, computed and hosted in the Australian region australia-southeast1 by default. A client that needs its data in its own country or on its own systems chooses where it lives ([governance](https://peopletechrevolution.com/about/governance)).

- The room: charging between turns, a clear space for each headset, seating for the debrief.

- Comfort: seated, slower-paced experiences suit most people. Glasses can usually stay on.

PTR’s published work

## Which headsets the published programs ran on

Each result was measured by the organisation named. Neither compares headsets, or tests whether the result holds on another device.

### Mater Education, on Pico Neo 3

Mater Education’s speaking-up program ran in VR on Pico Neo 3 headsets, and its facilitators were trained to run the technology themselves. In Mater’s own [program evaluation](https://peopletechrevolution.com/uploads/docs/people-tech-revolution-mater-immersive-learning-pilot-case-study.pdf), over 96% of participants wanted more training in VR ([case study](https://peopletechrevolution.com/work/case-studies/mater-speaking-with-good-judgement)).

### Google, on Meta Quest 2 and desktop

The [peer-reviewed paper](https://peopletechrevolution.com/uploads/docs/people-tech-revolution-google-vr-inclusion-training-chi-2024.pdf) at ACM CHI 2024 evaluated VR inclusion training led by PTR co-founder Leonie Sanderson and built with Equal Reality, a subsidiary of People Tech Revolution, run on Meta Quest 2 headsets with a desktop version alongside. The 7 trainees who returned the optional survey gave 82% average agreement that it was better than Google’s standard DEI training ([study summary](https://peopletechrevolution.com/work/research-evidence/vr-dei-training-google-chi-2024)).
